1. Payment Processing System

ChessNam processes all tournament payments directly through PayMongo, a licensed payment service provider in the Philippines. All transactions are secure, instant, and automatically confirmed.

Our platform enables seamless tournament registration with integrated payment processing. Players pay entry fees through GCash via our secure PayMongo gateway, ensuring fast and reliable transactions with instant confirmation.

2. Registration and Payment Process

2.1 Step-by-Step Process

  1. Login: Users must be logged in to register for tournaments
  2. Player Selection: Choose existing players or add new ones to your account
  3. Category Assignment: Select appropriate category for each player (categories may have different fees)
  4. Review Selection: Verify all players and their categories before proceeding
  5. Payment Information: Enter payer details (name, email, phone number)
  6. Process Payment: Complete payment via GCash through PayMongo
  7. Confirmation: Receive instant confirmation upon successful payment

2.2 Multi-Player Registration

  • One user account can register multiple players in a single transaction
  • Each player can be assigned to different categories with varying entry fees
  • Total payment covers all selected players
  • Category changes are allowed before payment completion
  • After payment, category changes may require organizer approval

2.3 Player Management

  • Users can save multiple player profiles under their account
  • Player information includes name, chess rating, and category preferences
  • Saved players can be quickly selected for future tournaments
  • Player categories can be updated before each tournament registration

3. Fee Structure and Calculation

3.1 Complete Fee Breakdown

Every tournament payment includes:

  1. Entry Fee: Base tournament fee (set by organizer)
  2. Platform Fee: 7.5% of entry fee
  3. Subtotal: Entry fee + Platform fee
  4. Payment Processing Fee: (Subtotal × 2.5%) ÷ 97.5%
  5. Total Amount: Subtotal + Payment processing fee

3.2 Fee Calculation Formula

Entry Fee = ₱X (set by organizer)

Platform Fee = ₱X × 0.075

Subtotal = Entry Fee + Platform Fee

PayMongo Fee = (Subtotal × 0.025) ÷ 0.975

Total Amount = Subtotal + PayMongo Fee

3.3 Example Calculations

₱250 Entry Fee:

  • Entry Fee: ₱250.00
  • Platform Fee: ₱250.00 × 7.5% = ₱18.75
  • Subtotal: ₱250.00 + ₱18.75 = ₱268.75
  • PayMongo Fee: (₱268.75 × 2.5%) ÷ 97.5% = ₱6.89
  • Total: ₱275.64

₱500 Entry Fee:

  • Entry Fee: ₱500.00
  • Platform Fee: ₱500.00 × 7.5% = ₱37.50
  • Subtotal: ₱500.00 + ₱37.50 = ₱537.50
  • PayMongo Fee: (₱537.50 × 2.5%) ÷ 97.5% = ₱13.78
  • Total: ₱551.28

3.4 Multi-Player Payment Example

Registering 3 players in different categories:

  • Player 1 (Open): ₱500 entry → ₱551.28 total
  • Player 2 (U1800): ₱400 entry → ₱441.03 total
  • Player 3 (Junior): ₱250 entry → ₱275.64 total
  • Combined Payment: ₱1,267.95

4. Payment Methods

  • Primary payment method for all tournament registrations
  • Secure processing through PayMongo's certified payment gateway
  • Supports all GCash account types (fully verified and basic)

  • Transaction limits apply based on GCash account verification level

4.2 Payment Security

  • All payment data is encrypted using industry-standard SSL/TLS
  • PCI DSS compliant payment processing
  • No payment card data is stored on ChessNam servers
  • PayMongo handles all sensitive payment information
  • Two-factor authentication available through GCash

5. Payment Confirmation and Records

5.1 Instant Confirmation

  • Registration confirmed immediately upon successful payment

  • Tournament organizers notified of new registrations in real-time

5.2 Transaction Records

  • Detailed receipts for each transaction via email

6. Refund Policies

6.1 Refund Components

  • Entry Fees: Refundable based on tournament organizer's stated policy
  • Platform Fees (7.5%): Non-refundable except for tournament cancellation or fraud
  • Payment Processing Fees (2.5%): Non-refundable per PayMongo terms

6.2 Refund Process

  • Refund requests must be submitted through the platform
  • Organizers review and approve refunds based on their policies
  • Approved refunds processed through PayMongo to original payment method
  • Refund processing typically takes 5-7 business days
  • Partial refunds available for multi-player registrations

6.3 Refund Eligibility

Automatic refund eligibility:

  • Tournament cancelled by organizer
  • Duplicate payment for same registration
  • Technical error resulting in overcharge
  • Fraudulent tournament (verified by ChessNam)

7. Failed Payments and Recovery

7.1 Common Payment Issues

  • Insufficient GCash balance
  • GCash daily transaction limit exceeded
  • Network timeout during payment processing
  • Incorrect phone number or PIN entry

7.2 Payment Recovery

  • Failed payments are not charged to your GCash account
  • Incomplete registrations saved for 24 hours
  • Webhook recovery system for interrupted payments
  • Support team available for payment reconciliation

8. Organizer Payment Terms

8.1 Payment Collection Model

  • ChessNam Role: Collect registration payments and retain platform fees only
  • Organizer Responsibility: Manage all entry fees and prize pool distribution independently
  • Platform Fees: 7.5% retained by ChessNam for service operations
  • Entry Fee Management: Organizers must arrange their own methods to access and manage collected entry fees
  • Registration and payment reports available to organizers

8.2 Organizer Obligations

  • Independently manage all entry fees collected by ChessNam
  • Handle all prize pool creation and distribution
  • Honor all advertised prizes and tournament conditions
  • Process refunds according to stated policies
  • Maintain transparent financial records for prize distributions
  • Comply with tax regulations for prize distributions

9. Dispute Resolution

9.1 Payment Disputes

  • Contact ChessNam support within 7 days of transaction
  • Provide transaction reference and relevant documentation
  • ChessNam investigates with PayMongo for resolution
  • Resolution typically provided within 3-5 business days

9.2 Escalation Process

  • Initial review by ChessNam support team
  • Escalation to PayMongo for payment-specific issues
  • Final resolution through formal dispute process if needed
  • GCash customer support for wallet-specific concerns

10. Security and Compliance

10.1 Data Protection

  • Payment data encrypted at rest and in transit
  • Regular security audits and penetration testing
  • Compliance with Philippine Data Privacy Act
  • Limited access to payment information

10.2 Regulatory Compliance
